This Privacy Policy explains how Wellness Coaching Services, provided by Sara Dosanjh Evans (“the Coach”), and Inspire Wellness Therapy (“IWT”) collect, use, protect, and store your personal information. By booking or participating in wellness coaching sessions, you agree to the practices described below.
This policy is written in alignment with Canadian privacy principles and standards similar to the Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Overview
Wellness Coaching Services are delivered by Sara Dosanjh Evans, who operates as an independent wellness coach subcontracted under Inspire Wellness Therapy. While the coaching relationship is confidential between the client and the coach, the administrative operations (such as scheduling, invoicing, record management, and payment processing) are handled through:
• Inspire Wellness Therapy’s administrative team, and
• The Jane App (Jane Software Inc.), a secure practice management platform.
This structure ensures professional operations while maintaining strict confidentiality around coaching content.
2. Information We Collect
We collect only the information required to provide wellness coaching and perform administrative functions.
2.1 Personal Identifying Information
• Full name
• Email address
• Phone number
• Mailing address (when provided)
• Emergency contact (optional)
2.2 Appointment Information
• Session type (e.g., wellness coaching, intuitive coaching, stress & burnout coaching)
• Appointment dates, times, and duration
• Cancellation and rescheduling history
• Package or membership details
2.3 Financial Information
• Invoices and receipts
• Payment status and history
• Credit card information (encrypted and handled by Jane’s payment processor)
Important:
IWT staff and the Coach cannot view full credit card numbers or security codes.

• Consent to coaching
• Any documents submitted for scheduling or payment purposes
No therapeutic assessments or clinical documentation are collected, as coaching is not therapy.
3. How Your Information Is Used

• Managing coach–client communication and reminders

Your personal disclosures during coaching sessions are not shared with Inspire Wellness Therapy.
4. Inspire Wellness Therapy’s Administrative Access
Because Wellness Coaching Services by Sara Dosanjh Evans is subcontracted through Inspire Wellness Therapy, the administrative team may have limited access to specific types of information stored in the Jane App.
4.1 What IWT Admin May Access
For operational purposes, IWT staff may view:
• Your name and contact information
• Booking and attendance history
• Payment information and invoice records
• Package usage and session counts
• Administrative forms needed for booking or payment
• Notes related ONLY to scheduling, cancellations, or administrative needs
4.2 What IWT Admin DOES NOT Have Access To
IWT staff cannot access:
• Coaching session notes
• Personal reflections
• Email or messaging exchanges involving coaching content
• Action plans, goals, or homework assignments
• Any insights, emotions, or discussions shared during sessions
Coaching content is strictly confidential and stored separately by Sara Dosanjh Evans.
5. Confidentiality of Coaching Sessions
All coaching discussions between you and Sara Dosanjh Evans are confidential.
5.1 Coaching Notes
• Not stored in the Jane App
• Not shared with IWT
• Not accessible to administrative staff
• Stored securely and privately by the Coach
5.2 When Confidentiality May Be Broken
Confidentiality can only be broken when legally required, such as:
• If there is risk of harm to yourself or others
• Suspected abuse or neglect of a child or vulnerable individual
• Court order or legal obligation
• Mandatory reporting requirements under provincial law
Outside of legal exceptions, coaching content is never disclosed.
6. Data Storage & Security
6.1 The Jane App
The Jane App uses:
• Bank-level encryption
• Secure servers
• Controlled access and permissions
• Encrypted payment processing
• Privacy-compliant storage practices
Client information stored in Jane is protected under Jane’s security protocols.
6.2 Inspire Wellness Therapy Security Measures
IWT:
• Uses secure, password-protected administrative systems
• Limits access to authorized staff only
• Trains staff in confidentiality and privacy policies
• Does not share client information with third parties unless legally required
6.3 Coach’s Private Coaching Notes
• Kept securely and separately
• Accessible only to Sara Dosanjh Evans
• Not integrated with IWT’s systems
7. Third-Party Providers
The Coach and IWT may use third-party services such as:
• Jane Software Inc. for scheduling and payments
• Online communication platforms (email, secure messaging)
• Website hosts or contact form providers
These services have their own privacy protections and comply with relevant privacy regulations.
8. Your Rights as a Client
You have the right to:
• Request access to administrative records stored in Jane
• Update or correct contact or billing information
• Ask how your data is stored or used
• Withdraw consent for non-essential communication

Coaching content is not accessible to clients via the Jane App because it is stored privately and independently by the Coach.

Administrative records (such as invoices and booking history) are retained only as long as required by:

Coaching notes are retained solely by the Coach and kept separately.
